Booking with Kent Wedding Games and payment

We require a £50 non-refundable booking fee (against your total payment) to secure your event date in addition to the £50 fully-refundable damage deposit.

The remaining balance is due four weeks before your hire date.

Example: (Gold package (£200) requires the £50 non-refundable booking fee (against your total payment) + £50 damage deposit = £100 initial payment, with the remaining balance (£150) due four weeks before your hire date. The £50 damage deposit is then refunded after the event (within 1-2 working days).

We typically only accept BACS (bank transfer) as a payment method, however if you'd prefer to use a different method to pay, please let us know.

Upgrading your package

You can upgrade your package choice (additional games) up until two weeks before your event date (pending availability). The price difference of the upgrade will be invoiced separately.

Cancellation policy

(1) If you wish to cancel your booking, please let us know in writing (email) to bookings@kentweddinggames.co.uk as soon as possible. If you cancel before your final payment is due (four weeks or longer before your hire date), you will not be required to make any further payment. You will not receive a refund on your £50 booking deposit, as this is non-refundable; this is due to us holding that date for you and potentially losing out on other bookings. You will however be refunded the £50 damage deposit.

(1a) If you wish to cancel less than four weeks before your event date, you will still be charged the full balance.

(1b, exceptions to 1a) However if the weather forecast is looking very poor, provided you inform us, we will seek alternatives to set-up in a more sheltered area or set-up inside (if agreed by the venue). If this is not possible, we may, at our discretion, allow you to cancel without paying the full charge. Please note that the £50 non-refundable booking deposit will still be retained and not refunded, however the £50 damage deposit will be refunded.

Cancellations less than four weeks before your event date, that are not due to very poor weather conditions, will still result in the full amount being due as mentioned in part (1a).

Damage or loss of games

At booking, as well as a 50% booking fee, we will ask for the £50 or damage deposit. This is fully refundable, upon collection and inspection of the games for any damage or missing items. If no games have been damaged and everything is present, we will return the damage deposit within 1-2 working days.

All of our games are the property of 'Kent Wedding Games', however during the time of hire the responsibility for the items lies solely with you. You will be liable to pay replacement/repair costs for any damages.

Many of our games are handcrafted which means that they can have the look of being slightly worn. However, any additional significant wear will be charged.

Children should be supervised at ALL times with the games. Games or their accessories can be easily broken/lost due to children being left unsupervised with the games. Any loss or damage will result in your damage deposit not being refunded.

Hire of our Games

Kent Wedding Games agrees to provide the hire of your chosen games, the number of which is respective to your chosen package (bronze (3 games), silver (4 games) or gold (6 games). Delivery, set-up and collection is free up to 20 miles. You have a responsibility to ensure children are supervised at all times and the games are not damaged and carefully moved inside or to a dry space in the case of adverse weather conditions (high winds or torrential rain for example). Damage to the games will result in the damage deposit not being refunded. Kent Wedding Games does not accept responsibility for injury caused through misuse of the games, lack of child supervision, or external factors. You also have the responsibility to ensure the venue is ready for delivery and collection at the agreed dates and times.

Delivery, set-up and collection

We organise all set-up, delivery and collection of the games. Delivery and collection is free up to 20 miles of Ashford, Kent (TN23 postcode). For any further distances a small, reasonable surcharge of 50p per mile applies to both delivery and collection. For example, if your venue was 25 miles away, the surcharge would be £2.50 each way (£5.00 total).

It is your responsibility to ensure the venue is ready for us to set-up at the agreed time and date.

We require all games to be ready for collection at the agreed time (typically the following morning). Failure to ensure this will result in a charge to cover any additional travel costs.

Weather conditions & general safety

We always aim to set-up outdoors. However, if the weather is particularly poor, we will seek alternatives including finding a more sheltered area or setting up indoors if this has been agreed with the venue, please ensure your venue is happy to accommodate this, should this be the case.

All of our games are water-resistant and can withstand light or short bursts of rain. However, caution should be exercised when there is any sort of wind or rainfall becomes torrential. If the weather turns and there are high winds or torrential rain whilst we are not at the venue, we ask that the games are carefully moved so they aren't able to damage any property at the venue or cause injury and also to protect the games themselves from damage.

These terms and conditions will be sent to you at the same time of us requesting the initial payment of your booking fee and damage deposit.

By making your initial payment, you are agreeing to these terms and conditions.
